Abstract
The management of student accommodation in tertiary institutions is continually facing issues with complaint monitoring, maintenance coordination, and open communication between residents and administrators. Paper-based systems and manual workflows introduce bottlenecks, which lead to slow response rates, a lack of accountability, and low student satisfaction. QuickHostel Care is a mobile-based, cloud-based solution presented in this article, built on Flutter and Firebase technologies to modernize the hostel complaints workflow. The system allows the students to make maintenance requests with photographic proof, monitor the real-time status of the resolution, and be notified automatically. Administrative users are provided with an extensive dashboard to use, including analytics, filtering, and the ability to export data to perform institutional reporting. A pilot implementation at residential facilities showed that there were quantifiable changes in the timelines of resolving complaints, administration efficiency and user engagement. The architecture uses Firebase services as a secure access control mechanism, real-time data synchronisation, multimedia processing, and delivery of push notification but does not compromise scalability and simple deployment.
